How Barber Stats works

The four things to do first, exactly how every figure is worked out, and the questions that come up most.

Record a visit

Use the Add visit button in the top bar, or the round button in the middle of the bottom bar on a phone. Barber, service, price. That is the whole thing. A walk-in with no name still counts.

Clock barbers in and out

A barber sets their own status from the button at the top of every page, or from the card on their dashboard: Working, On break or Not working. An owner or manager can set anyone's from that barber's page, and can switch off barbers setting their own under Permissions. Hours only accrue while someone is clocked in, and hours are what make clients-per-hour meaningful. Forgotten to clock out, or never clocked in? An owner or manager fixes it under Shifts on the barber's page, where a shift can be added, adjusted or removed.

Check out an appointment

On the Calendar, press Cash or Card when the client pays. That records the visit, and only then does it count on the dashboard: a booking on its own is not a customer. Pressed the wrong one? Open the row's menu and choose Change to cash or Change to card. Checked out by mistake? Undo checkout takes it off the dashboard at once and puts the booking back on the book. However many times it is checked out and undone, one booking is one customer. To change the haircut, the time or the client, choose Edit from the same menu; if the booking has already been checked out, the recorded visit changes to match. Barbers can do all of this for the bookings on their own chair, and never see anyone else's. An owner can switch that off under Permissions.

Add your team

Barbers → Add barber. They do not need a login to be tracked. To give someone access, go to Settings → Team → Invite someone: choose barber or manager, and they get a link that works for seven days. You can change their role or remove them from the same page.

Read the dashboard

Every figure is compared against the same length of time immediately before the period you picked, so a half-finished month is measured against the same days last month.

How the numbers are worked out

No hidden weighting or smoothing. Every figure is one of these.

Clients
Count of completed visits in the period.
Revenue
Sum of the prices on those visits, whether paid in cash or by card.
Paid by card
Card takings as a share of everything recorded as cash or card.
Average per visit
Revenue divided by completed visits.
Hours worked
Clocked-in time in the period. A shift nobody clocked out of ends with the day it started on.
Clients per hour
Completed visits divided by hours worked.
Repeat rate
Clients served who had visited before the period began.
Service popularity
Visits grouped by the service recorded on them.
Change vs previous
(this period − previous) ÷ previous, over the same length of time.
Wages
For a barber paid by the hour, the hours they were clocked in at their hourly rate. For one paid by the day, their daily rate for each day they clocked in or served a client.
Left after wages
Takings less wages. Tax, super, rent and other costs are not taken off, so it is not profit.

Common questions

Why does a barber show a dash instead of clients per hour?

Because no hours have been logged for them in that period. Clients-per-hour is clients divided by hours clocked in, and dividing by zero is not 0. It is unanswerable. The dash says so honestly instead of printing a misleading number.

Why does “This week” only show today?

Because the week has only just begun. Weeks start on Monday unless you change it in Settings → Permissions → Trading day, so on a Monday “This week” is that one day. “Last week” has the seven days before it, and “Last 7 days” always covers a full week up to today. Under the date button, every page says exactly which days it is showing and what they are compared with.

Why is a whole period empty?

Either nothing was recorded in it, or it ended before your first record. The page says which, and links to a period that has something in it. “Last month” is the calendar month before this one, so a shop that started this month has nothing there yet.

Why does a card say “No prior data” instead of a percentage?

Going from nothing to something has no percentage change. Rather than showing +100% or +0%, which would both be wrong, the card says there was nothing to compare against and shows the absolute figure instead.

I changed a service price. Did my past revenue change?

No. Each visit stores the price it was actually sold at, so raising a haircut by four dollars today does not rewrite last quarter. Reports for closed periods stay exactly as they were.

I archived a barber. Where did their numbers go?

Nowhere. Archiving takes someone off the active roster and stops them counting toward your plan limit, but every visit they recorded stays in your history and in every report covering that period.

How do I set what a barber is paid, and who can see it?

Open the barber, choose Edit, and under Wages pick by the hour or by the day and enter the rate. You can also set it when you add them. Reports then has a section of its own showing the takings, the wages and what is left. Only the owner sees any of it: managers and barbers do not, and the activity log records that a rate changed without saying what to.

I gave someone a rise. Did last month's wages change?

No, unless you ask for that. A new rate applies from today and earlier days keep the rate they were worked at. If the old rate was simply wrong, choose “Every day, including past ones” when you save and past reports are worked out again at the new one.

Can my barbers see each other's figures?

No, and there is no setting that allows it. A barber sees their own performance only. What you can control, in Settings → Permissions, is whether a barber sees their own revenue and whether managers see shop finances at all.

What happens if I stop paying?

The workspace becomes read-only. You can still open everything and export it. Nothing is deleted, and reactivating puts you back exactly where you were.

Why is my day rolling over at the wrong time?

Check Settings → Shop → Time zone. Every figure on the dashboard is calculated in your shop's zone, so if that is wrong, so is the boundary between today and yesterday.

Where is my data kept, and who can see it?

In a database where every record is tied to your shop, and every query is checked against your membership before it runs. Nobody outside your team can see it, and your barbers only ever see their own numbers. The Privacy Policy sets out the detail.
